1. Information We Collect
We collect information you provide directly: name, email, agency name, and payment details at signup. When you upload documents, we temporarily process the content to extract insurance data. We also collect standard usage data (pages visited, features used, browser type) to improve the Service.
2. How We Use Your Information
We use your information to provide and improve the Service, process payments, send transactional emails (receipts, form delivery, renewal alerts), and respond to support requests. We do not use uploaded document content to train AI models. We do not sell your personal information to third parties.
3. Document Processing & AI
Documents you upload are processed by our AI pipeline to extract insurance data. Document content is not stored permanently after form generation is complete unless you explicitly save it to your client file. Extracted structured data (named insured, limits, etc.) is stored to power the client memory feature and can be deleted at any time from your account settings.
4. Data Security
All data is encrypted in transit using TLS 1.3 and encrypted at rest using AES-256. We employ access controls, audit logging, and regular security reviews. In the event of a data breach affecting your personal information, we will notify you within 72 hours.
5. Data Retention
Account data is retained while your account is active. Documents processed for form generation are deleted within 30 days unless saved to your client file. If you cancel your account, your data is retained for 30 days to allow for reactivation, then permanently deleted upon request.
6. Third-Party Services
We use Stripe for payment processing (subject to Stripe's privacy policy), Postmark for transactional email, and cloud infrastructure providers for hosting. These providers are contractually bound to handle your data in accordance with applicable privacy laws. We do not share your data with insurance carriers, wholesalers, or other third parties.
7. Your Rights
You have the right to access, correct, or delete your personal information at any time. To exercise these rights, contact us at privacy@accordpro.com or use the data management tools in your account settings. If you are a California resident, you have additional rights under CCPA.
